In addition, Wild West Cycling may cancel any of its tours prior to its start for reasons such as, but not limited to, "Acts of God", inclement weather, unsafe travel and/or riding conditions, or if Wild West is unable to deliver tour services as planned. If the management of Wild West Cycling decides, prior to the Orientation meeting, to cancel a tour for reasons such as, but not limited to, those listed above, guests will be entitled to a full refund of all monies paid. Wild West Cycling will make its "best-efforts" to notify guests of a cancelled tour. Refunds will be disbursed shortly thereafter, generally in a similar manner to how you made your payment. For example, if you originally paid by a credit card, your refund will be credited back to your card. Other than for the reasons stated above, monies paid for Wild West Cycling's Tour of California are non-refundable.
Transfer Policy for Wild West Cycling's Week-long Tour of California and Other Services Associated with that Tour A guest may transfer any monies paid for the week-long Tour of California as credit for another tour if they notify Wild West Cycling in writing, by email, or by phone by 5PM PST on 2/16/07. You may Contact Us by using the addresses or phone number at the top of this page. There is a $100 administrative fee to accept this one-time transfer option. You should apply your credit (minus the $100 administrative fee) to an adventure tour that commences within 12 months from the start of your original tour selection. Otherwise, your credit will be considered forfeited. If you cancel your participation in a future tour, your credit will be considered forfeited. Lastly, if you transfer your credit to a tour that Wild West Cycling, for whatever reason, must cancel, we will refund any of your credit back to you around the time of that cancellation.

Wild West Cycling will make its "best-efforts" to notify guests of a cancelled tour. Refunds will be disbursed shortly thereafter, generally in a similar manner to how you made your payment. For example, if you originally paid by a credit card, your refund will be credited back to your card.

If a guest's notification is received 30-59 days in advance of their tour's Orientation, the guest will receive a 50% refund of all monies paid. If a guest's notification is received less than 30 days in advance of their tour's Orientation or no written notification is received, the guest will forfeit all monies paid and not be granted any refund. This transfer option is a one-time transfer option and requires an administrative fee to exercise this option. The administrative fees are $25, $50, or $100 if we receive your written transfer notification 60 or more days in advance, 30-59 days in advance, or 1-29 days in advance of your tour, respectively. You should apply your credit (minus the applicable administrative fee) to an adventure tour that commences within 12 months from the start of your original tour selection. In some instances, the specific dates of the future tour that you are transferring credit towards may not be known for some time. This may be the case when you are transferring credit to a tour in the next calendar year. Thus, you may have to contact us twice - first in writing to exercise your transfer option; and secondly through a number of means (online, email, phone, or in writing) during the next 12 months from the start of your original tour selection to specify a particular tour that you would like to apply your credit towards. If you have credit remaining after transferring your credits to another tour, you shall be reimbursed any remaining credits in a manner that is similar to how you made your initial payments at the conclusion of your replacement tour. If you have not transferred your credit to a specific tour within 12 months from the start of your original tour selection, your credit will be considered forfeited. In addition, tour services and amenities, whether "bundled" as a complete adventure tour or "unbundled" as a specific feature of a tour (i.e. a particular meal or a specific room night), may not be transferred to another party.

Rider Responsibilities Personal Health & Fitness, Rider Readiness, and Equipment Suitability It is the guest rider's responsibility to ensure that their physical health and mental state, riding abilities, athletic equipment and apparel, and pre-ride/post-ride gear are suitable for any of our tours. Please view a detailed description of our tours by clicking on the appropriate tour links on either our Tour Schedule or Reservations Center pages. In addition, please view our What to Bring to a Wild West Cycling Adventure Tour to view our suggestions on what you should pack. Please note that our What to Bring page includes general suggestions on what you should pack and is a non-exhaustive list. Each individual rider is unique and may have additional items not listed that they would like to ride and tour with. Importantly, your bike should be in a safe, ridable condition.
Riding Rules Wild West Cycling encourages each guest rider to ride with at least one other rider at all times. After conducting our pre-tour interview with you, we will try to place guest riders together with others of similar riding abilities and touring goals. For our road rides, riders should cycle in a single-file, paceline method in many to perhaps nearly all instances. On road cycling descents, MTB downhills, and MTB singletrack however, it is important for riders to maintain proper spacing due to the changes in speed on such terrain. We will demonstrate the above methods of riding and the general forms of riding communications at our Orientation with you. In the meantime, you may want to visit the following sites to learn more about general road riding and paceline riding: USA Cycling's Cycling 101; Edmund Burke's Riding in a Paceline; and Fred Matheny's How to Ride in a Paceline.
Leave No Trace One of our primary goals is to Leave No Trace, especially concerning disposables and refuse, upon the environment, and that any refuse from our rides are disposed of properly. Riders should hold onto any riding-related refuse, such as used energy gel packets, until it can be properly disposed of.
Repair & Maintenance Costs, and Replacement Rentals Prior to a tour's commencement, if your bike is found to be in an unsafe or non-ridable condition you are responsible for improving the condition of the bike so that it is deemed to be in a safe or ridable condition. Wild West Cycling may attempt to assist you with any necessary repairs or improvements but is not obligated to do so. In addition, you may incur some repair and maintenance costs, either from Wild West Cycling or a third-party provider, for any required maintenance or repairs. If your bike cannot be repaired in a reasonable amount of time of effort, you may not be allowed to ride that bicycle for a portion or all of the tour until the bicycle is properly repaired. Wild West Cycling will make its best efforts to find a replacement rental bike for you if this is the case, but is not obligated to do so. If the replacement bike is indeed a rental bike, the guest rider will be required to pay the current rental rates for his or her usage of that bike.
Incomplete Disclosure, Unsafe Riding, or Unruly Behavior If a guest has not accurately disclosed their physical or mental health in the pre-tour interview, Wild West Cycling reserves the right to disallow one's activities for part of or through the duration of a tour. Such a rider may be considered banned from a tour, and Wild West Cycling is in no way obligated to provide any kind of refund. If a rider is determined to be riding in an unsafe manner or a guest's behavior diminishes the operation of or other guests' experiences from a tour, Wild West Cycling will first warn the guest rider of the incident(s) so that there is not a repeat occurrence. If one persists in conducting unsafe riding and/or in behaving in an unruly manner, Wild West Cycling reserves the right to suspend one's further activities for part of or through the duration of a tour. Such a rider may be considered banned from a tour, and no refund of any kind will be provided.

With our smaller-to-medium sized tours or on some of our daily loop rides, we may have only one riding tour guide. In addition, on some of our smaller tours or on some of our daily point-to-point rides, we may lead and support such tours with the passenger vehicle only. The riding tour guides support guest riders by serving as on-road ride leaders; providing information about the daily rides and areas; supplying some sports nutrition and nourishment; and assisting guest riders with minor repairs. Please be aware that prior to the start of each day's ride, each rider should carrying sufficient sports nutrition and the necessary repair items in case they become separated from the riding tour guide(s) and/or the passenger vehicle. MTB Rider Support - On our MTB rides, there will generally be one to two riding tour guides as well. While one of the guides will lead the moderate-to-faster pace group, the other guide will support the slower-to-moderate pace group. In addition, the passenger vehicle might not meet up with the MTB riders during the ride if the terrain is inaccessible to passenger vehicles. The riding tour guides support guest riders by serving as off-road ride leaders; providing information about the daily rides and terrain; supplying some sports nutrition and nourishment; and assisting guest riders with minor repairs. Please see our What to Bring page to familiarize yourself with the necessary items that you should carry on each day's ride.
The Routes Road Cycling Tour Routes - Prior to each day's ride, we will brief the road ride group on the daily route, terrain, and itinerary. In addition, we will attempt to provide a one-page map and/or directions of the day's route for you to carry along with you through the day. The road rides are usually point-to-point, circuit, or loop rides. We try to ride on mostly scenic, lesser-travelled, but maintained roadways. Although from time to time, we will be riding on some suburban and urban boulevards, county roads, and state highways. On all types of roadways, always remember to ride on the far-right side of the road in the bike lane or right shoulder when available and generally in a single paceline. A dual paceline is appropriate only when the bike lane or right shoulder is wide enough to support such a paceline.
Mountain Biking Adventure Routes - Prior to each day's ride, we will brief the MTB ride group on the daily route, terrain, and itinerary. In addition, we will attempt to provide a one-page map and/or directions of the day's route for you to carry along with you through the day. The MTB rides are usually point-to-point, circuit, or loop rides on scenic and challenging singletrack, jeep roads, or fire roads. On all of these types of off-road trails, always remember to ride on the far-right side of the trail and generally in a single paceline to accommodate those who want to pass on the left or on-coming riders. Concerning paceline riding on MTB singletrack or MTB downhills however, it is important for riders to maintain proper spacing due to the changes in speed on such terrain. A dual paceline is appropriate only when the trail and terrain can support such a paceline.
Meals and Sports Nutrition We try to provide two meals, a pre-ride breakfast and post-ride dinner, per each full day of activity. Our pre-ride breakfasts may range from continental breakfasts that emphasize proper sports nutrition and hydration to complete breakfasts prepared either on location or by a nearby restaurant. Somewhat similarly, Our post-ride dinners emphasize proper sports nutrition, rehydration, and recovery and also are prepared either on location or by a nearby restaurant. Please visit our Guest Services page to view some sample images of our meals. In addition to the two meals per day of activity, our passenger vehicle and our tour guide(s) will store and provide to guest riders sports nutrition and hydration items such as energy gels and sports drinks, respectively. On riding days when you will have limited to no contact with the passenger vehicle during the ride, it is importantly that you adequately store such sports nutrition items on yourself for the day's ride.
Mechanical Problems with Your Own Bike or with a Rental Bike Minor Problems - We can usually assist guest riders with minor mechanical problems, such as flat tires, untrue wheels, sloppy shifting, unresponsive braking, and other issues, through our replacement parts inventory and limited repair service. Our replacement parts inventory typically includes some spare tubes and patches, possibly some fresh tires, derailleur and brake cables, and brake pads and shoes. In addition, the Wild West Cycling staff can assist you in making the necessary wheel, derailleur or brake adjustments and placing the required replacement parts onto your bicycle. In some instances, the guest rider may be charged for certain replacement parts and possibly their installation. Please remember to view our What to Bring page and store on you an inflation device, such as a frame pump, and a couple of spare tubes in case you become separated from the group.
More Serious Problems - We may be able to assist guest riders with a few more serious problems, such as a broken chain. However with major mechanical problems, such as broken stems, seatposts, cranks, bottom brackets, and other large parts, we will most likely not have the required replacement part(s) with us. If we have neither the required replacement part(s) with us nor a spare bike for you, you may have to obtain the replacement part(s) from a local bike shop or online bike retailer or rent a spare bicycle from a local vendor in order to continue riding in your tour.
If a guest rider encounters a minor or major problem with a rental bike, the above conditions shall generally apply. Any minor replacement parts, such as brake pads or derailleur cables, will usually remain the property of Wild West Cycling Adventures. In addition if the mechanical problem is of a serious nature, we will assist the bike rental rider in obtaining a partial to full refund from the bicycle rental provider. However, we are in no way obligated to do so.
Lost Riding Days In the event of one or more lost days of riding due to climatic or other conditions after a tour has begun, Wild West Cycling may consider some form of credit to guests. However, it is not obligated to issue a credit to guests for any reason concerning lost riding days.
